Does Time Batching Improve Productivity?

Imagine this scenario: You’re swamped with tons of work to do. You’re feeling tempted to multitask but you’re fighting it off because you know that could lead to negative results. As Latin writer Publius Syrus once said, “To do two things at once is to do neither.”

Well, you might want to try time batching. 

What is time batching?

In case you’re not familiar with what exactly time batching is, it is a time management technique that helps individuals focus their attention on completing tasks by grouping similar ones together. 

“What we need to do,” according to Forbes, “is group together mentally and intellectually similar tasks and then block out a period of time (even if it's only 20 minutes) to focus only on those items.”

Aside from entrepreneurs and employees, this technique can also be effective for students, parents, or anyone else who wants to boost his or her productivity during busy days. 

Here’s how you can actually do time batching right:

1. Write your tasks down

To get started, you first need to make a list of all the tasks you need to complete. At this point, you are basically creating a to-do list just so you have a big picture of what you are aiming to accomplish.

2. Time to batch the tasks

Now that you have a full list of your tasks, the next goal is to group related ones so you can devote your time and attention to them. For example, your goal is to write an essay for a school assignment. Other similar tasks that come with that should be researching, creating a draft, the actual writing, plus the proofreading and editing. 

Unrelated tasks should be grouped into other batches. If you ever have too many tasks in a single group, it’s also acceptable to divide them into two groups or more so you can avoid being too overwhelmed.

3. Start working on your tasks

After organizing everything, it is now time to work on your tasks, one by one depending on which needs to be completed first. If possible, set a deadline and estimate how much time you will need to finish everything on your list just so you have a framework in mind that will serve as your guide as you get busy.

Once you’re done, make it a point to evaluate what you did right and what you did wrong. This is important if you want to see what you can do to be better at it next time. Also, assessing the experience helps you see if the entire process really helps you achieve greater productivity.

Here are additional strategies you should keep in mind if you want to make the most of time batching:

Of course, you should minimize distractions. The whole point of time batching is to allow you to reach full productivity by grouping similar tasks and then working on them one at a time. If you easily get distracted from your goal, then finishing your tasks could probably take much longer. While it’s perfectly okay to take breaks or to treat yourself when you reach certain milestones, make sure that you don’t defeat the purpose of time batching in the first place.  

Also, feel free to use appropriate apps or tech tools that you actually find helpful.  If a project management software gives you the visual you need so you can tick your tasks off one at a time, then just go for it. 

Time batching works

Compared to multitasking, time batching allows you to get the job done systematically while having greater control over your tasks at the same time. You will be able to focus better, avoid mental clutter, and even decrease your stress significantly.
